Your next patient handout, written from what you actually tell patients.
Forty templates for medical, dental, PT, and chiro practices. You fill in the practice, the topic, the home instructions, and when to call. Your AI writes the handout, the reminder, the appeal, or the complaint response in the order a patient or a payer reads it. About four minutes, start to send. The clinician still reviews anything clinical.

Nine of forty. Patient communication, payers, front desk, staff, safety, and reputation, waiting room to back office.
What the office typed in. What came back for the clinician to review.
Built the way your office would build them: the facts of the visit and the policy in the blanks, one run on the AI, not edited after. The practices, the staff, and the patient are invented. The work is not, and nothing that looks like a chart went into a prompt.
A one-page sinus infection handout a worried parent can read in one sitting
What Is It?
Acute sinusitis is an inflammation of the nose-side "air pockets" (sinuses) that usually follows a cold or allergy flare-up. Most people feel pressure, stuffy nose, and thick mucus for about a week.
What You Need to Know
- Most sinus infections are caused by a virus and get better on their own in 7 to 10 days.
- Symptoms often feel worse on days 3 to 5 before they start improving. This is normal.
- Thick or colored mucus alone does NOT mean you need antibiotics. It's just the body clearing out debris.
Let's Clear Up Some Myths
| Myth | Fact |
|---|---|
| Green mucus means I need antibiotics. | The color comes from dead cells and immune chemicals; it does not prove a bacterial infection. |
| I should not fly or exercise at all with a sinus infection. | Light activity and travel are usually fine unless you have severe pain, fever, or pressure that worsens when you change altitude. |

An $85 billing complaint through the portal, handled end to end
The portal reply
Thank you for contacting Northgate Physical Therapy about the $85 charge from your July 9 visit. I'm sorry you did not receive a timely callback and that the billing information you were given was unclear. We have reviewed your insurance benefits and the claim for that appointment. The service performed was classified as a "re-evaluation," which your plan applies a copay to, rather than the full 100% coverage quoted for standard visits. You can expect a personal phone call from our Practice Manager, Dana, within the next five business days to confirm the adjustment and answer any remaining questions.Marcus L., Front Desk Lead
Recovery Workflow
- Acknowledge receipt. Marcus (Front Desk Lead) replies via portal within 24 hrs.
- Gather documentation. Priya (Billing Coordinator) pulls claim, EOB, and original benefits-quote note.
- Determine adjustment. Dana (Practice Manager) reviews data and decides on a courtesy $85 adjustment if the front-desk quote was inaccurate.
- Update staff script. Marcus revises the benefits-quote script to differentiate standard visits from re-evaluations.
Root-Cause Note
Front-desk staff use a single benefits script that does not differentiate re-evaluation visits, leading to inaccurate patient cost expectations.
Plus the dated response clock with a sign-off at each gate, the grievance-log record laid out field by field, the reporting check, and the 30-day follow-up that confirms no new balance appeared and the next visit was kept.
Three steps. Nobody learns prompt writing between patients.
Pick the document
Patient handout, reminder text, referral letter, denial appeal, complaint reply. Search it the way you would say it across the front desk, not the way a coder would.
Fill in the visit and the policy, not the chart
Seven to twelve blanks: the practice, the topic, the home instructions, the cancellation policy, the offer on the recall list. Chips for the common answers, your own words for the rest. Names, dates of birth, and record numbers stay in the chart where they belong.
Send it to your AI, then to the clinician
Ultra Prompt builds the expert prompt and hands it to ChatGPT, Claude, or Gemini. The document comes back in the order a patient or a payer reads it. The responsible clinician reviews anything clinical before the front desk sends it.
Templates handle the document. An agent handles the front desk.
The same facts you type into a template can live inside an AI agent that knows your practice, your hours, your cancellation policy, and your voice, so the next reminder, the next handout draft, and the next complaint reply start from your rules instead of from a blank chat. Three agents a practice actually needs:
The Scheduling Desk
Knows your locations, your prep instructions by visit type, your cancellation policy, and your reminder voice. Say the visit type and the day; it drafts the reminder, the no-show follow-up, and the reschedule note, with no patient identifiers in the chat.
Runs in Claude Projects, a Custom GPT, or a local modelThe Payer Desk
Carries your payer list, your appeal letter format, and the documentation each carrier asks for. Paste the denial reason and the clinical argument the provider gave you; it drafts the appeal in the shape the carrier reads.
Runs in the AI your billing coordinator already usesThe Handout Writer
Holds your practice name, your reading-level target, and your standard when-to-call and emergency lines. Give it the topic and the clinician's key points; it drafts the one-page handout for the clinician to review and sign off.

Etta is in the build lane now and goes through the same certification every showroom agent passes before the door opens. Meanwhile, the live agents are open to everyone.
See the showroomBuild the Recall Desk yourself, between two blocks of appointments.
One practice builds The Recall Desk in Agent Studio: it knows your recall intervals by visit type, your reminder voice, your opt-out line, and your rule that nothing clinical goes in a text. You paste in the count on this week's recall list and the visit types, never a name or a date of birth, and it hands back the text, the email, and the voicemail script for the front desk to send. Agent Studio is in every Pro and Business seat. Export it to Claude Projects, a Custom GPT, Gemini Gems, Copilot, or a local model on the office machine. It runs on the AI you already have. Nothing to host, nothing in the cloud that was not already there.

Do I need ChatGPT or Claude to use this?
Yes, one of them, and the free tier of any of them works. Ultra Prompt builds the prompt and sends you there with it. You never paste anything by hand unless you want to.
Is this medical advice?
No. It produces practice communication from what you give it: your key points, your instructions, your policy. Anything clinical gets reviewed by the responsible clinician before it reaches a patient, same as any handout or letter your office writes today.
What about HIPAA and patient information?
Keep patient identifiers out of the prompt. The templates are built to work from the facts of the visit or the policy, not from a chart, and the ones that touch patient detail say so at the top. Whatever you type into your AI is between you and that AI's terms; that part is your responsibility, and we say so plainly.
Will it make up a drug dose, a statute, or a study?
It writes from what you give it. The templates state your facts and say plainly when something is not provided, rather than inventing a dose, a code section, or a citation. You still read what you send; it is your practice's name on it.
How is this different from just asking ChatGPT?
You can ask ChatGPT for a patient handout and get a generic one. These templates ask for the audience's reading level, the myths your patients actually believe, the when-to-call list, the emergency signs, the opt-out line on every text, the owner of every step in a complaint. The difference is what they make you say.
Can my office manager and my billing coordinator use it too?
Yes. Business seats are $10 each after the first, up to 15, on one invoice. Everyone gets the full library and Agent Studio.
