For small and mid-size law firms

Your next client update, drafted from the facts of the file.

Thirty-five templates for the writing that eats a firm's afternoons: status updates, intake follow-ups, document chasers, fee explanations, engagement letters. You fill in the matter, the development, the deadline, and what you need from the client. Your AI drafts it in plain English, in the order a client reads it. The attorney reviews and sends. About three minutes to a draft.

Drafts land in ChatGPT  ·  Claude  ·  Gemini  ·  the AI your firm already pays for. The attorney reviews before anything leaves the office.

Three real matters

What goes in the blanks. What comes back for review.

Drafted the way your paralegal would draft them: the facts of the matter in the blanks, one run on the AI, not edited afterward. The clients and the firms are invented. The work product is not.

Where we stand

We are in the discovery phase. Meridian Mutual has answered the complaint and denied liability, standard at this stage, and we have served our first set of written questions and document requests to them.

Recent developments

On August 14 we received the full police report and the city's intersection camera footage, which clearly shows the other vehicle entering on red. Dr. Patel's office has supplied complete treatment records through July 30; your documented medical bills now total $31,240.

What's next & timeline

Meridian must provide written responses by September 12. Once we have those answers, we will schedule the other driver's deposition, likely in early October, and then send a formal settlement demand, probably late October.

What we need from you (action required)

  • All physical therapy receipts for August.
  • Your employer's letter confirming 11 missed work days.

Please upload these documents to the client portal or email them to our paralegal, Tom Reyes, no later than September 5.

Plus the subject line, the greeting, when the client hears from you next with an invitation to call, and the firm's one-line disclaimer: the update reflects the matter as of today, timelines are estimates, no outcome is promised. Under 200 words, five sections, in the order a client reads them.

From the file to the draft

Three steps. No prompt writing, no billable time lost.

01

Pick the matter's next letter

Status update, intake follow-up, document chaser, fee explanation, engagement letter, process explainer. Search it the way you'd say it to your paralegal: "the Okafor update" or "the flat-fee engagement letter".

02

Fill in the facts of the file

Six to ten blanks: the client, the matter type, what happened, what comes next, what you need from them and by when. Chips for the common answers, your own words for the rest. Nothing privileged you would not put in an email.

03

Your AI drafts. The attorney reviews.

Ultra Prompt builds the expert prompt and hands it to ChatGPT, Claude, or Gemini. The draft comes back in plain English with the firm's disclaimer at the bottom. The attorney reads it, edits it, and sends it, same as a paralegal's draft.

Past the template: the firm's own desk

Templates handle the letter. An agent handles the desk.

The same facts you type into a template can live inside an AI agent that knows your firm, your practice areas, your fee structures, and your communication standard, so the next status update, the next intake follow-up, and the next fee letter start from your rules instead of from a blank chat. Three agents a small firm actually needs:

Client communication

The Status Update Desk

Carries your firm's style guide, your disclaimer, and your reading-grade rule. Paste the docket note and the next deadline; it drafts the client update in your voice and flags any sentence that promises an outcome.

Runs in Claude Projects, a Custom GPT, or a local model
Intake

The Intake Follow-Up Clerk

Knows your fee menus, your engagement letter terms, and the document checklist for each matter type. Say who came in and what for; it drafts the follow-up, the checklist, and the retainer note for the attorney to review.

Runs in your phone, through the AI you already use
Billing

The Fee Explainer

Holds your rates, your billing practices, and your payment options. Paste the invoice lines and the item that ran long; it drafts the plain-English walkthrough and the installment offer, no apology, value explained.

Runs in Gemini, ChatGPT, or Claude

Hal is in the build lane now and goes through the same certification every showroom agent passes before the door opens. Meanwhile, the live agents are open to everyone.

Agent Studio

Build the firm's Status Update Desk in an afternoon.

Agent Studio is in every Pro and Business seat. Describe one agent: it knows your practice areas, your fee menus, the engagement letter terms, the firm's disclaimer, and the rule that no sentence promises an outcome. Paste in the docket note, the next deadline, and what you need from the client; it hands back the status update in the firm's voice, with the action items and the date, ready for the attorney to review. Export it in the format your platform speaks: Claude Projects, a Custom GPT, Gemini Gems, Copilot, or a local model on your own machine. It runs on the AI you already have. Nothing to host, nothing for IT to approve.

Straight answers, no hedging

The questions partners and office managers ask first.

Is this legal advice, and who is responsible for what goes out?

No. It drafts client communication from the facts you give it, and a licensed attorney at your firm reviews every draft before it leaves the office, same as with a paralegal's draft. Every law firm template closes with that instruction.

Will it invent case citations, statutes, or deadlines?

It writes from what you give it and says plainly when something is not provided, rather than invent an authority, a rule, or a date. Models still slip (one of our test renders named a state we never gave it), so the attorney cite-checks anything that looks like law before it goes out.

What about client confidentiality?

Ultra Prompt builds the prompt and sends it to the AI you already use; it does not store the client facts you type. Keeping privileged or identifying details out of a prompt is your call and your firm's policy, the same call you make with any outside tool.

Do I need ChatGPT or Claude to use this?

Yes, one of them, and the free tier of any of them works. Ultra Prompt builds the prompt and sends you there with it. You never paste anything by hand unless you want to.

How is this different from just asking ChatGPT?

You can ask ChatGPT for a client update and get a generic one. These templates ask for what a client will actually call about: what changed, what comes next, what you need from them and by when, the disclaimer at the bottom. The difference is what they make you say.

Can my paralegal and the front desk use it too?

Yes. Business seats are $10 each after the first, up to 15, on one invoice. Everyone gets the full library and Agent Studio, and the attorney still reviews what goes out.

Your next status update is waiting on you, not on a blank page.
