Nine of thirty-six. Catering, reviews, staff, suppliers, specials, allergens, and the health inspector, front of house to the walk-in.
What you type in at the host stand. What lands in the office manager's inbox.
Built the way you would build them between services: the real head count, the real per-head, the real bad review in the blanks, run once, not cleaned up after. The restaurant and the office manager are invented. The proposal, the follow-up, and the reply are not.

Touch one, the thank-you
Hi Dana, thanks for letting Marlow & Finch Kitchen fuel your October 15 meeting. I was thrilled to hear the short rib "disappeared first" and that two of your clients asked who catered. I also appreciate the note about coffee running low near the end; we'll be sure to have a fresh pot ready next time. If anything else comes up, just give me a shout.
The blurb Dana can paste to a friend
Hey [Name], I just had Marlow & Finch Kitchen cater our meeting and the short rib was a hit. They're offering 10% off your first order (book by Nov 30) plus a $100 credit for me if you go with them. Let me know if you want an intro!
Non-Response Fallback
If no reply after Touch 3 (Oct 29): wait 5 days, then send a soft re-touch on Nov 4: "Just wanted to make sure you saw the holiday party offer; happy to answer any questions." If still silent after that: pause outreach. Add Dana to the quarterly check-in list.
Plus the referral message itself, the rebooking email that points at the December party, the November text, two subject lines per email, the merge-token list for the next client, the two lines that must stay hand-written, and a per-touch response tracker. Nine sections.
A two-star Yelp review about a 35-minute wait, answered for the next hundred people who read it
The public reply
Trevor L., thank you for taking the time to share your experience. We're sorry you endured a long wait, staggered entrees and a lukewarm risotto with no offer to make it right. We accept full responsibility: that Saturday we over-booked the 7:30 slot, the kitchen fell behind on a simultaneous 12-top, and our manager didn't check on your table when the dishes arrived at different times. The reservation was honored, but the party ahead ran long and we failed to communicate the delay or invite you to the bar. We've now reduced Saturday 7:30 covers by two tables, added a second expo for larger parties, and our manager walks the floor every 15 minutes on weekend nights to catch staggered tickets. Please return as our guests. Dinner for four is on us. Email me directly at owner@marlowfinch.example so I can set your table personally.Owner, Marlow & Finch Kitchen
That is the whole thing: 140 words, five moves in the order the template fixes (thank, own, one sentence of context, the fix, the invitation), and nothing the owner did not put in. Public replies past 150 words read as defensive, so the template stops there.
Three steps. Line check to sent.
Pick the job
Catering proposal, review reply, next week's schedule, the pre-shift lineup, the price-increase sign for the door. Search it the way you'd say it to your GM.
Fill in the facts
Seven to thirteen blanks: the client, the menu, the head count, the per-head, the deposit, the 86 list. Chips for the common answers, your own words for the rest.
Send it to your AI
Ultra Prompt builds the expert prompt and hands it to ChatGPT, Claude, or Gemini. The proposal comes back in the order an office manager reads it; the lineup comes back short enough to read at the pass before doors.
Templates handle the document. An agent handles the office.
The same facts you type into a template can live inside an AI agent that knows your menu, your prices, your allergen rules, and your voice, so the next catering quote, the next pre-shift, and the next review reply start from your house rules instead of from a blank chat. Three agents an independent restaurant actually needs:
The Catering Desk
Knows your per-head pricing, your deposit terms, your minimums, and your cancellation policy. Paste an inquiry email; it drafts the proposal in your format, flags the allergen line, and writes the 30-day follow-up.
Runs in Claude Projects, a Custom GPT, or a local modelThe Pre-Shift Writer
Carries your menu, your stations, your service standards, and this week's features. Paste tonight's 86 list and the big parties; it writes the five-minute lineup with the allergen reminder and the sales goal.
Runs in your phone, through the AI you already useThe Review Desk
Holds your make-it-right policy and your owner's voice. Paste a review from Google or Yelp; it drafts the public reply under 150 words, the private follow-through, and a note on whether the wait complaints are a pattern.

Agent Studio is in every Pro and Business seat. Give it your menu, your per-head and package pricing, your deposit and cancellation terms, your allergen rules, and the way you talk to an office manager. Then, from the host stand, paste in the inquiry email; back comes the proposal in your format, the allergen line flagged, and the 30-day follow-up already drafted. Export it as a Claude Project, a Custom GPT, a Gemini Gem, Copilot, or a local model on the office computer. It runs on the AI you already have. Nothing to host, nothing for your GM to babysit.

Do I need ChatGPT or Claude to use this?
Yes, one of them, and the free tier of any of them works. Ultra Prompt builds the prompt and sends you there with it. You never paste anything by hand unless you want to.
Will it make up prices or menu items?
It writes from what you give it. The templates are built to state your numbers and your dishes and say plainly when something is not provided, rather than invent a per-head price or a special. You still read what you send; it is your restaurant's name on it.
What about allergens and the health code?
Every food template ends with the same instruction: verify every allergen statement against your actual recipes and current supplier labels before it is published or served. The allergen matrix and the inspection audit organize what you know; they are not a substitute for your health department's rules or your own label check.
How is this different from just asking ChatGPT?
You can ask ChatGPT for a catering proposal and get a generic one. These templates ask for the deposit, the cancellation window, the guest-count cutoff, the allergen cards, the things an office manager or a bride will argue about later. The difference is what they make you say.
Can my GM and my catering manager use it too?
Yes. Business seats are $10 each after the first, up to 15, on one invoice. Everyone gets the full library and Agent Studio.
What if I only need three documents, done my way?
That is the custom build. One conversation about your restaurant and the documents you write most, and you get a set built for your place on your own account. From $450, one time.
